Studio Policy for Gerard Portrait Artist, LLC

  • Past clients are eligible for a new promotion twelve months after a prior promotion.
  • A maximum of four pets are allowed per portrait; Dogs must be leashed at all times when in the studio. Two dogs per adult.
  • Portrait sessions may include up to eight subjects in a family portrait. Additional subjects are $50 each and must be paid at time of scheduling.
  • Babies must be at least six months old, able to hold their heads up and sit up on their own.
  • All sessions require a $100 deposit for approximately 2.5 hours of studio time that are set aside for you and your family. the $100 deposit is fully refunded on the day that you finalize your portrait. Please refer to cancellation policy below for all refund details.
  • Cancellation/Late Policy: If a client, for whatever reason, is late to our session, we reserve the right to reschedule the session. We will do our best to accommodate your family at the time you reserved, but our commitment to quality does not allow us to rush through our work. If you reschedule your appointment with less than five days notice, your booking deposit will become a studio credit. In the unlikely event of a no-show, the deposit becomes non-refundable. If any sessions are rescheduled more than once, your deposit will become a studio credit.
  • Note: We do not accept any appointment changes via text messages or emails. For any cancellations or reschedules, you must call our studio office directly at your earliest convenience.

What Does a Complimentary Portrait Experience Include?

Your complimentary portrait includes the following:

  • A reserved private in studio portrait session including up to 8 members of your family.
  • A personalized portrait review in our viewing room with our portrait consultant.
  • A complimentary 14-inch artist enhanced Signature portrait, unframed.

There is no obligation to make any additional purchases.

We offer multiple sized portraits and finishes to choose from to best suit your needs. If you choose to purchase a larger art piece instead of the complimentary 14" portrait, the value from this complimentary 14" can be used as a credit toward the purchase of any of our larger art pieces or collections.

Each experience is valid for a session with up to 8 participants. Additional participants are $50 each. Our Camera Room can accommodate up to 15 subjects.

This experience cannot be used with any other offer, redeemed for cash, or used in any other way than described. This gift cannot be used to purchase artwork from a previous session. Only ONE (1) Gift Experience may be redeemed per family per year.

Sessions and/or gifts are non-transferable and can only be used by the person it is registered to. It cannot be sold or given to another family member, friend or individual. Must be 21 years of age to apply.


Session Booking

To secure your session time, a fully refundable reservation deposit of $100 is required. This applies to all portrait sessions. Your reservation deposit will be refunded in full unless you:

  • Reschedule your session more than once; your deposit becomes studio credit.
  • Do not show up for your scheduled session; with no notification to the studio, you lose your deposit.
  • Any cancellation request must be made more than 5 days in advance of the session day and time to receive your deposit refunded.

Appointment Cancellation Policy

We are a very high-in-demand, high-end portrait studio and limit the number of appointments that we accept based on our capacity to create stunning pieces of art for our clients. We block out our studio and staff for up to 2.5 hours for every appointment, hence the need to collect a fully refundable $100 booking fee to assure that we are booking serious and committed clients. The fee is fully refunded on the day of your session as long as you show for you appointment. Rescheduling an appointment with less than 5 business days notice will result in a loss of the booking fee. Booking fees on appointments rescheduled with more than 5 business days notice are applied to the new appointment and will be refunded on the day of the appointment. The booking fee is not refundable for a "no-show" or a permanently cancelled appointment.


Sales Terms and Conditions

If you place an order with Gerard Portraits, it will have the following terms and conditions. We retain the copyright to all imagery and reserve the right to use it for displays, exhibitions, or promotional/marketing purposes. All imagery will receive our signature artistry by our commissioned artists. Any other requests must be made at the time of your order and specified on the order form.


Warranty Policy

If your framed products incur accidental damage or are lost in a disaster such as fire, flood, earthquake, explosion or relocation, we will offer you a complimentary, one-time replacement of your framed products for any of these reasons.


Payment Plan Options

Gerard Portraits offers clients low or no interest payment plan options to help you pay off the cost of your artwork over a period of time. All payment plans must be authorized in agreement by signature on the sale of the invoice. Installments must be direct debited from a credit card or debit card in line with the agreed upon payment schedule. If you wish to make additional payments or pay off your payment plan, you can do this at any point.


Defaulting on the Payment Plan

If your scheduled payment plan is declined, Gerard Portraits will attempt to re-process that scheduled payment on the next business day. Should this 2nd payment decline Gerard Portraits will issue you notice to rectify payment within 10 business days. If your account is not updated within the 2- days from the original notice to rectify, we reserve the right to allocate your overdue payments to a debt collection process.

Any fees associated with this will be at your cost. If any payment to your credit card is unsuccessful, a dishonor fee of $25 per unsuccessful payment will be added to your account. In the event of any change to your credit card number or credit card expiration for either the principal or supplementary credit card used for your recurring payment plan, you must notify the studio accordingly.

If balance is not paid by Final Due Date, then 29.99% interest will be charged on the total amount financed on the day of signing.


Non-Disparagement

You agree not to disparage Gerard Portraits. For purposes of this Section, "disparage" shall mean any negative statements, reviews, or comments, whether written or oral, about Gerard Portraits. This will include all written or electronic communication, whether email, text message, Messenger, use of Google, Facebook, Instagram, Tiktok, Yelp, LinkedIn, etc.
